We operate a Calor Gas distribution and retail business, John Stayte Services, from six depots in Gloucestershire and North Somerset. We have used the RBA system since its conception in the 1990's and have found it the perfect tool for our computer business needs. It is a full accounting package with the ability to operate additional sites in real time. Our distribution business is fully integrated with the retail business and even allows data imports from our ancillary businesses, such as filling stations, that use an alternative system. The RBA system has adapted and modernised with the growth of our business; the perfect retail system for business.

RBA have provided our EPOS system since 2016. We could not imagine running our business today without it. The efficiency it provides for our business is critical to its sustainability in these tough times for High Street retailers. By using the sales data generated we have been able to maximise our stockturn whilst minimising our stock. We have also managed to reduce our payroll through freeing up staff time to focus on serving customers rather than processing stock through for example, the RBA handheld app. Ordering is simple and effective utilising the EDI integration capabilities with many of our key suppliers. The RBA integration with NearSt has allowed us to create an online presence without any of the costs associated with a dedicated website. Customers searching for products locally can easily see the products we stock on our Google page with no manual input required by us. This is proving invaluable in attracting customers to our store who would have previously purchased from our competitors or online. We would certainly recommend RBA to any retailer looking for a highly capable system backed up with personal support from a friendly team.

I have been with RBA now for 14yrs working with Retailer , I find the system itself very effective and efficient from an operating point of view . Promotional tools and analysing from a retailing perspective are excellent , support functions are instant and the team are always proactive when it comes to developments to enhance the system . Choosing RBA was a no brainer for us after already rolling it out in another company, building out on their EPOS system which already has more features than the glut of run of the mill systems out their RBA were able to deliver these in a modular way allowing us to tailor the system to our needs, added to this as others can testify RBA are very receptive to suggestions and improvements allowing more scope to better tailor their system to your requirements, using their modular approach this gave us the tools to manage job booking, account management and invoicing, and the ability for field engineers to work from tablets, and later down the line we can simply bolt on a website store saving us from doing the same work twice and running two separate systems, at the other company it only took a couple of weeks to go from concept to live website because the backend was already in place with RBA.

RBA provide systems to almost 100 of our Independent Retail Store customers with enhanced stock and ordering functionality. Our retailers can easily place replenishment orders based on sales history, stock and re-order levels and we provide order acknowledgments confirming stock availability and allowing them to automatically book in stock from deliveries. The automatic stock files also ensure our entire 18,000 product range and current pricing including promotions are readily available to our retailers. This is a considerable time saving for both Home Hardware and our Independent Customers. Virtually all our products can be purchased in single units so Retailers simply take the stock they require to replenish their shelves; therefore there is no need for a stock room.

Havards is the UK's 1st Community owned hardware store. The inherited Epos was causing problems. After a detailed search and comparison of over 8 EPOS and inventory management which included site visits of the short list, systems RBA came out No 1. We've not looked back since and are heading towards maximum automation as we adopt more and more of the RBA facilities, we've already seen reduced human error with the supplier edi interfaces and greater accuracy on stock valuation with auto updates to costs. The combination of an engineering degree and ten years of running a successful outdoor leisure and bottled gas company set the stage for me to become one of the three founding members of RBA in 1992.

Our headquarters have been based in Buckinghamshire then Surrey, and now we have relocated to the sunny southwest. I’m based in our Ilfracombe office, a Grade II listed, Georgian building which was originally a pharmacy. It is inspiring to work from an historically and architecturally interesting building with sea views.

As well as running RBA, I develop the software and enjoy getting involved in sales. In my spare time I have reasonably successfully raised three children, enjoy DIY and am currently in training for some local long walks: The Two Moors Way, with my wife and dog; The Star trek Challenge for a second time, this time with colleagues from RBA.

I’ve worked for RBA since the turn of the millennium and get involved in all aspects of what we do here. Whether that is manning or assisting the support desk, visiting potential new customers or installing systems.

RBA, like most companies, started small and we continue to grow now so it is essential that everyone helps out in every respect of the business. I have been programming database applications for 25 years and for 18 of them I have worked for RBA.

New operating systems, hardware and the increased usage of the internet all bring their own unique challenges and I, along with the rest of the team, rise to meet them.

Our application has evolved from a text based one to the current version that runs under the current versions of Windows. I’m proud of how far it has come, but there is always going to room for improvement and new features.

I graduated with a degree in Philosophy before relocating to North Devon, and worked in administrative roles at several local companies before joining RBA in 2014.
When you phone the support desk I will probably be the first person you speak to. I manage Verifone applications and Trend anti-virus accounts, as well as taking support calls and dealing with accounting queries.
In my spare time I enjoy photography and running and am looking forward to entering star  trek 2016 as part of the RBA team.

I worked in the Retail industry for ten years before joining RBA. I’ve used the Retailer system at the sharp end for nearly a decade. I believe as a company this gives us an important insight into what Retailer’s expect from an EPOS system and the company that offers it.

Since joining RBA in 2014 I’ve been using my past experience in my new role which is quite varied and includes demonstrating the system to potential customers, installing systems and assisting our existing customers with support queries. It’s both exciting and rewarding to be part of a customer focused software company that’s constantly developing. My colleagues and our clients expect high standards from me and I’d have it no other way.

Previous to RBA I studied IT & Computing for 4 years. I joined the RBA team in November 2021 as a Junior Support Engineer with a focus on hardware/peripherals covering both maintaining and installations. Being the newest member of RBA I am always learning new things from the rest of the team. 

My daily support calls usually entail troubleshooting RBA integrations such as Xero, Near St & GfK as well as integrated card solutions.

In my spare time I like going to the gym, going to festivals & concerts and have recently started taking up more home DIY projects.

Is the RBA software suitable for my business?

The Supplier Integration, does it only work with a few suppliers?

No, there is a custom import tool that is really easy to use on almost any spreadsheet or data file given to you by any supplier.

How long does it take to install and start using the RBA software?

You can start using it from day one. It normally takes a few hours to get ready to use but it can learn new products as it gets used if you haven’t imported any data to start with. The sales interfaces are really simple to get on with too. You’ll learn the more advanced functions as you need to.

I have an existing system, can you migrate my data?

Yes. in 99% of cases it is relatively straightforward to extract and convert your stock, supplier and customer data files so you can transition to your new system smoothly. We have converted so many clients from other systems that we have custom tools to do this automatically from Eposnow, CSY, CES, IRS, Ncompass, MiniPos, ECR, and Sage / Sage Line50

Can the RBA software manage servicing work?

Whether you service bikes, mowers, tractors, safes, alarm systems, gas installations, you name it, the RBA system can manage this from point of order to invoice. The mobile engineer app saves all the administrative work too

Is there a limit to how many records can be stored or processed?

No. We have clients processing up to 1000 orders per day on their RBA system and others with over 1/4 million stock records
