There is so much to say about our system and so many functions it can perform it would be impossible to list them all. We hope that some of these Q&A’s throw a little more insight into the many functions it can fulfil.
Is the RBA software suitable for my business?
A pedigree in providing solutions for more complex businesses makes the RBA system suitable for a range of Industries and Businesses.
We specialise in Retail and wholesale for DIY, Hardware and Homeware, Locksmiths, General Wholesale, Gas Distribution, Agricultural Merchants, Electrical suppliers, plumbers merchants, timber and fencing suppliers, builders merchants and many unique businesses too.
The Supplier Integration, does it only work with a few suppliers?
No, there is a custom import tool that is really easy to use on almost any spreadsheet or data file given to you by any supplier.
How long does it take to install and start using the RBA software?
You can start using it from day one. It normally takes a few hours to get ready to use but it can learn new products as it gets used if you haven’t imported any data to start with. The sales interfaces are really simple to get on with too. You’ll learn the more advanced functions as you need to.
I have an existing system, can you migrate my data?
Yes. in 99% of cases it is relatively straightforward to extract and convert your stock, supplier and customer data files so you can transition to your new system smoothly. We have converted so many clients from other systems that we have custom tools to do this automatically from Eposnow, CSY, CES, IRS, Ncompass, MiniPos, ECR, and Sage / Sage Line50
Can the RBA software manage servicing work?
Whether you service bikes, mowers, tractors, safes, alarm systems, gas installations, you name it, the RBA system can manage this from point of order to invoice. The mobile engineer app saves all the administrative work too
Is there a limit to how many records can be stored or processed?
No. We have clients processing up to 1000 orders per day on their RBA system and others with over 1/4 million stock records
Can you manage multiple sites or branches from one system?
Yes, you can keep up to 95 remote sites updated in real time so that you can manage all your important information in one place. We are not a web platform but it works just as well, or better as there is no reliance on broadband speeds.
Can I integrate this with my existing Website?
Possibly, if your site is built on a woo-commerce platform or EKM or Shopify then you can link to these using Adlister. Otherwise, we have a custom API for linking to websites, your website developer may be able to link this for you. Or we can provide you with a fully working and ready solution.
Can I repurpose some or all of my existing EPOS or Computer hardware if i upgrade to RBA?
Yes, most likely. If you have windows touch screen terminals, thermal receipt printers, USB barcode scanners, etc these should all be ok. We don’t support Android till systems though or any windows system older than windows 10.
Does the RBA software handle Telephone orders, deliveries or different kinds of orders?
Yes, across the two main sales screens in the RBA software you can handle almost any type of sales order and process it in many different ways to suit either you or your clients needs.
Will it manage my stock control, at other branches too?
Yes of course. Stock is tracked at every level, including branches managed at HQ and in remote locations. Stock levels at all branches can be seen at all branches too.
Can i get a demonstration of the software?
Yes, we can do this remotely with google meet and wherever possible would come and meet with you for an onsite demonstration.
What happens after I have bought my new system from RBA?
We offer a support contract to all our clients. The price depends on how many user licences you buy and it offers you telephone, remote access and email support throughout the working week and a callback service at weekends. We can offer ongoing advice and help not just when you have an issue but when you just need a helping hand to get to grips with using your system.
I sell quite expensive items, can I track goods by their serial number?
Yes, you can do this in a few ways. From just recording an ID number when you sell an item to a fully tracked system where serial numbers are recorded for every item at point of receipt. This also helps with any servicing work where a full history can be kept against individual serial numbers.
Can I get timesheets / records of my employees working hours?
Yes, there is a timesheets function you can enable that allows assistants to log on and off their shifts and breaks. A simple time record sheet can be printed at the end of the week or month.
Does the RBA software integrate with all the major Card Payment providers?
Unfortunately not. The work involved to get accreditation with providers is extensive and expensive. So we currently have 5 providers with which we can offer an integrated solution. Dojo is our preferred provider, but others are available although in some cases we have to charge a monthly integration fee to cover the costs of supporting these solutions.
Does the RBA software integrate with other Accounts solutions like Sage Cloud, Quickbooks or Kashflow?
Integrations with other software are complex and expensive so we cant support them all unfortunately. But we do listen to our clients to choose the best packages to interface with. There are a number of exports within the RBA system though that are compatible with these other systems.
Can the RBA system produce Quotes and Pro-Forma invoices?
es, you have the option to save a customer order as a quotation first, and then elevate it to a proforma invoice and then full proper invoice. This also commits the stock only when elevated to an order.
Is the RBA software suitable for a Locksmith business?
Yes, some of our biggest customers are locksmiths so the sales order processing coupled with the android workforce app, special order capabilities and order management screens make the RBA software a perfect solution
Would the RBA software be suitable for other merchants or traders?
Absolutely, we have clients using our system to great effect who are Agricultural merchants, Timber and fencing suppliers (and fitters), pet food and animal feed suppliers, electrical wholesalers, plumbers merchants, builders merchants, garden centres and more.
Would the RBA software be suitable for trade, wholesale or B2B businesses?
Yes, pricing can be shown incl or ex vat (or both) and among many other benefits the sales screens lend themselves to large volume orders as much as they do smaller retail orders. For example: electrical wholesale, paint and decorating supplies, agricultural supplies, building supplies, uPVC supplies and uPVC accessories, tool suppliers.
Is the RBA system suitable for Gas and businesses?
The RBA system is being used by some of the biggest independent LPGas, Beer Gas / Cellar Gas and Industrial Gas businesses in the country. Managing stock control, ordering, delivery scheduling, vehicle loading, cylinder locations (loan stock), invoicing and accounts.
Would the RBA software be suitable for a bike shop?
The sales and servicing aspects of the RBA software are perfect for any business that sells larger value items and offers repairs and servicing as well.
Is the RBA software suitable for a DIY Store or Hardware Store?
Hardware and DIY shops are one of our most common EPOS users. It’s the main reason the RBA software has so much functionality and flexibility due to the wide range of goods sold, the way in which they are sold and the ease with which the RBA system allows the user to manage their business. it saves hours of time cutting out repetitive tasks, ordering stock from the correct supplier, keeping stock levels at their optimum and improving margins at every opportunity.
What other businesses use the RBA software system?

Would the RBA software be suitable for a uPVC supply business to Trade and Retail?
With the in-built functionality to sell to any type of customer and handle larger orders that maybe need first quoting and then picking and delivering (or even fitting) then the RBA software is a perfect match.
Is the rba software suitable for Coal, wood and solid fuel suppliers?
Yes, with our thoroughbred in all aspects of sales and distribution built into the RBA software Coal and Logs suppliers would run their business very efficiently with the RBA software
What if I need help? Do you have a Support desk?
Yes, we have our own UK based support staff at our offices and other staff around the UK linked by our VOIP phone system who can offer you telephone, email and remote access support during the working week. We offer a callback service for weekend support.
Is this software MTD compliant, will I be able to submit my VAT obligations?<br />
The integrated ledgers of the RBA software are fully MTD compliant.
I have lots of staff, is it easy to track what they’re doing?<br />
You can configure the system to give each member of staff an assistant ID which then could be embedded onto a Dallas key for extra security or just used as an ID number or pin code. This in turn will log all activity to thier ID and you can give some more rights and responsibilities than others. System user logins also control what everyone has access to.
